PAY FOR A WEEK AND GET EIGHT NIGHTS / 8+ DAYS
This feature gives you eight nights and over eight days for less than their price for seven ... (the price stays the same even if you only take seven days of rental time). The "eighth" night is only applicable "once" so if you pay for two weeks you will get 15 nights, pay for three weeks, get 22 nights, etc.
NIGHT BEFORE PICKUP
This feature is usually is usually available because of our policy that leaves up to five days between rentals. "Night Before pick up" is not written into the contract, but is made available once it is confirmed that the motor home will be cleaned, serviced, and ready to go on the night before. (only available with a minimum "one week" rental period.)
LICENSE REQUIREMENTS
All Canadians need, is 8 (eight) years with a full "G" classification driver's license to drive our units. A valid license from the country of residence is mandatory for all others. While an "international" driver's license is acceptable for "non-Canadians", it is only valid in combination with the national driver's license.
INSURANCE APPROVAL
All drivers must be pre-approved by our insurance company, therefore the agreement to rent must be made at least five business days in advance. All drivers licensed "out of the province of Ontario" must produce a "claims free letter" … or … a "reference letter" from their insurance company, dated withing 30 days of the motorhome "Pick up" day.
Note: Due to the differences in operating a motor home, M&E RV Rentals reserves the right to deny anyone permission to drive their units.
INSURANCE
M&E maintains liability coverage on its motor homes to a maximum of CAD $2,000,000, for any bodily injury and property damage liability claims from the operation or use of its rental. Premiums for this coverage are included in the rental rates charged. This also includes premiums for "collision" insurance with a deductible of CAD $1,000.00, and "comprehensive " insurance with a deductible of CAD $500.00.
A reduced "collision" deductible of CAD $500.00 (per occurrence) is available for an extra charge as described under "Rental Info and Pricing".
VACATION-SAVER POLICY
In the unlikely event that you may experience mechanical difficulties with the Vehicle, we have adopted a Vacation-Saver Policy to help you back on the road as quickly as possible.
Please ask us about it when you are ready to book.
It is exclusive to M&E RV Rentals Ltd., so we won't tell just anyone about it.
RENTER'S RESPONSIBILITY
Accidents, tire damage, hit and run, animal impact ... up to CAD $1,000.00 without the reduced deductible. $500.00 with.
Break-in, vehicle theft, vandalism and fire, ... up to CAD $500 with or without the reduced deductible.
Glass, windshield damage, including stone chips, ... up to CAD $500 with or without the reduced deductible.
Damage resulting from the following is the renter's responsibility:
- failure to maintain the proper fluid levels in the engine, transmission, braking system
- failure to maintain the proper tire pressure or misuse of the braking system (overheating) and/or transmission (overdrive).
- driving in prohibited areas such as .. private roads, ... logging roads, ... forestry trunk roads, ... Death Valley, USA, or anywhere in Mexico.
- damage occurring in an accident not reported to police.
Due to the theft rates, anyone who travels to Montreal or New York City, must not leave the motor home unattended. If there is a theft or vandalism while the motorhome is left unattended in these locations, you may loose your deposit to the value of the claim and will be required to compensate for lost rental time on the unit. No Exceptions.

NIGHT TIME DRIVING RESTRICTION
Because of the real danger of deer collisions (which have occurred with our motorhomes) our motorhomes are restricted from being driven through the night time hours when it is dark. This includes the time from one hour after sunset to one hour before sunrise, as stated by the local weather bureau. If you choose to drive during those restricted hours, and a deer collision occurs, you may loose your deposit and will be required to compensate for lost rental time on the unit. Exceptions to this rule can be made in an emergency or critical situation, but we request that you call us first. We are available 24 hours a day.
NOTE: IN THE EVENT OF AN ACCIDENT, M&E RV RENTALS WILL MAKE A CLAIM ON THE CREDIT CARD SECURITY DEPOSIT IMMEDIATELY (only for the amount of the applicable Insurance Deductible if it is during the allowed operating hours) UNTIL OUR INSURANCE COMPANY DETERMINES RESPONSIBILITY FOR THE ACCIDENT. IF AND WHEN THE INSURANCE COMPANY NOTIFIES M&E RV RENTALS THAT THE RENTER IS NOT AT FAULT, M&E RV RENTALS AGREES TO REIMBURSE THIS AMOUNT TO THE RENTER IMMEDIATELY AFTER RECEIVING THIS NOTIFICATION.
PLEASE NOTE: THERE IS NO INSURANCE COMPANY THAT WILL COVER ANY "COLLISION OR COMPREHENSIVE" DAMAGE INCURRED WHILE DRIVING UNDER THE INFLUENCE OF ALCOHOL.

PICK-UP
While every effort is made to have the unit ready for "Night Before" pick-up, we do not guaranty that it will be ready before noon on "pick-up day". The motor home must be picked up at our office location only, unless prior arrangements have been made with all documentation previously signed at our location.
You would have already received your "We make it easy for first timers" documents that will familiarize you with the many aspects of using and operating a motor home, before you arrive. We will instruct you on the operation of the motor home's appliances and do a complete check of the unit to ensure that everything is in good operating condition. Please allow 1 to 2 hours for orientation to the unit and its systems.
ORIENTATION
Orientation can take 1 to 2 hours, depending on the experience level of the renters. If we are available, we at M&E RV Rentals make every attempt to offer this session ahead of time (within 48 hours of pick-up day) to save you time on pick-up day. We will advise you if "early orientation" is available within 5 days of pick-up day.
REQUEST FOR AWNING USE:
Awnings will be locked and not available for use unless specifically requested. If awning use is requested, please allow 15 extra minutes (to the standard time) for the orientation session. This is needed so that we can provide instruction on how to open (extend) and close (retract) and store the awning. Even though comprehensive damages are covered (after the $500.00 deductible), if awning use is approved by us, portions of the security deposit may be used to cover any potential damage that may occur from miss-use or improper operation (see below).
SECURITY DEPOSIT:
An imprint of a major Credit Card (VISA, MasterCard ), is required, while the vehicle is rented. It will be "pre-authorized or charged" for $2,000.00. No cash rentals are allowed.
This is refundable if the unit has not been smoked in, has had no pets inside of it and has not been used for towing. A total refund is also conditional on the motor home being brought back in good condition with no damage, clean, propane filled, tanks dumped, and filled with fuel (see below).
DROP-OFF
As noted above ....... Unless otherwise arranged, charged for and noted on the contract, the renter is responsible for returning the unit with the gas tank and propane tank filled. Dated receipts for the above will be requested at the time of drop-off. Failure to fill these prior to drop-off will result in a service charge of $60.00 which will be applied to your credit card, over and above the cost of filling these tanks.
OUTSIDE WASHING IS NOT REQUIRED UNLESS THE "CHECK-IN" PROCEDURE CANNOT BE PERFORMED DUE TO EXCESS DIRT ON THE VEHICLE. In this case, the motor home will be washed at our facility to satisfy inspection requirements and inspected before we sign off on the exterior inspection. (there will be a $75.00 charge for this service)
CLEANLINESS LEVEL
We expect our clients to leave our motorhomes as tidy as their own homes. When returned, they do not have to be spotless ...only generally clean. This includes the cab, kitchen, bathroom (including toilet and floor around it), shower, bedroom and living areas. Bed linens, blankets, towels and face cloths do NOT have to be laundered.
A charge of CAD $60.00 per hour for cleaning will be applied to your credit card if the vehicle is returned in an unsatisfactory state. "Unsatisfactory" can mean that there is either "excessive" or "hard to remove" dirt anywhere inside or outside of the motorhome. This can include but is not limited to tree sap on floor or other surfaces from shoes or clothing, ... sand, dirt, or other stains on upholstery or walls and other surfaces, road tar spray on front or rear of motorhome, etc. ... generally any dirt that requires an abnormal amount of time or effort to remove would be considered excessive.
DUMPING WASTE TANKS
BEFORE RETURNING THE MOTOR HOME ...THE "BLACK WATER" AND "GRAY WATER" TANKS MUST BE EMPTIED (IN THAT ORDER), Then, the "black water" tank must be refilled once to the halfway point with fresh water (we recommend using the pail supplied to fill through the toilet with the "pump" switch in the off position) and redumped. The sewage hose should also be rinsed of any foreign matter. Most dump sites have a fresh water hose available for the purpose of clean-up. Then ... THE HOSE MUST BE PUT BACK IN PLACE IN THE REAR BUMPER AFTER RINSING.
A new pair of rubber gloves is supplied as well as a clean sewage hose. If the unit is returned with waste still in the tanks, a $50.00 service charge plus any fees related to dumping charges, will be applied to your credit card.
IMPORTANT !!!
THE FINAL DRAINS ON OUR MOTORHOMES ARE SMALLER THAN NORMAL HOUSEHOLD PIPING.
DO NOT DUMP BACON FAT OR OTHER OILS OR GREASES INTO THE SINKS, TOILET OR SHOWER DRAINS.
DO NOT DISPOSE OF FEMININE HIGEINE PRODUCTS OR ANY OTHER MATERIAL THAT COULD PLUG THE DRAIN PIPES.
A $350.00 FEE WILL BE CHARGED FOR UNPLUGGING THE BLACK OR GREY WATER DRAIN PIPES DUE TO VIOLATIONS OF THIS POLICY.
SMOKING: ... SMOKING IS NOT ALLOWED INSIDE THE MOTOR HOME!
PETS: ... NO PETS ARE ALLOWED INSIDE THE MOTOR HOME UNLESS PRE-APPROVED BY M&E RV RENTALS LTD.!
TOWING: ... NO TOWING IS ALLOWED!
A violation of any of the above (smoking, pets or towing) can result in a forfeiture of the deposit.
TRAFFIC VIOLATIONS AND FEES
The renter of the motor home will be responsible for all highway and bridge tolls and fees and fines resulting from traffic violations (including parking tickets) during the time of the rental As a courtesy, M&E RV Rentals will ensure that fines are paid in a timely manner if the renter provides the ticket and the payment to M&E at the end of the rental. Should any tickets, fees or fines go unpaid, M&E RV Rentals reserves the right to charge a CAD $25.00 administration fee in addition to the amount of each charge. All expenses shall be charged to the renter's credit card.
BOOKING
Bookings can be accomplished by Approved Credit Card.
To secure a time slot, a deposit of 30% of the booking amount(minimum of $500.00), is required.
All deposits made 60 days or more ahead of pick up day are refundable within 14 days of the deposit date with a 3% charge (our credit card merchant fee).
After fourteen days, the deposit is non-refundable.
The balance is due 60 days from pick up date.
Bookings made within 60 days of the pick-up date will be paid in full.
Bookings must be made at least 5 (five) business days prior to pick-up date to allow time for driver approval by our insurance company. Allow 30 (thirty) days for international bookings.
Every drivers' insurability will be checked within 30 days of the pick-up date. Bookings cancelled due to the inability of securing an "insurable" driver will be charged, subject to the standard cancellation fees outlined below.
CANCELLATION FEES
Any cancellation:
120 days or more prior to pick up date: No charge except for 3.0% Credit Card Merchant Fees on Deposit
4 weeks to 120 days prior to pick-up date: 25% of "Rental" charges plus CAD $500.00
2 -4 weeks prior to pick-up date: 25% of "Rental charges plus CAD $1,000.00
Less than 2 weeks prior to pick-up date 100% of "Rental" charges
"No Show" 100% of "Rental" charges
Note: There are no refunds for early returns.
Note: In the case of a cancellation, every attempt will be made to re-rent the motor home for the time period in question. The cancellation fee will be reimbursed subject to the percentage of days that can be made up.
We may, at our option, decide to provide a Limited coverage, "Rain Check" for a cancellation due to a sudden change in a participants medical condition. This would be considered on an individual basis based on the merit of the situation and would have to be supported by a note from a qualified doctor/physician.
CUSTOMER MAINTENANCE RESPONSIBILITIES:
It is the customer's responsibility at each refueling stop to check engine oil, coolant and other fluids, and top them up to the required levels. Tire pressure and lights must also be checked periodically. Authorized maintenance expenses incurred will be reimbursed at the time of vehicle return with valid receipts only.
Before departure, you will be required to sign a document that states:
"I have read and understand the above TERMS AND CONDITIONS OF RENTAL CONTRACT"
